Good to know
Sponsor activation requirements
These operating guidelines are based on the current sponsorship materials. Final 2026 setup details will be included in the sponsor packet.
Staffing and setup
Booths must be staffed throughout both festival days.
Sponsors may not check in late or leave early.
Saturday setup begins at 8 AM and should be complete by 9:30 AM.
Sunday setup begins at 10 AM and should be complete by 11:30 AM.
Booth dismantling and packing may begin only after the festival closes Sunday at 5 PM.
Family engagement
Every booth must offer a hands-on, child-friendly interactive activity.
Promotional information may be shared, but products and services may not be sold.
Donations, tip jars and any other exchange of money are not permitted.
Sponsor packets and volunteer wristbands are distributed at sponsor check-in.
Insurance and releases
Sponsors must provide proof of insurance to The Pavilion.
Everyone working a booth must sign an Authorization and Release of Liability form.
A parent or legal guardian must also sign for booth staff or volunteers under age 18.
Completed release forms should be returned before the event whenever possible.
